We kindly ask you to peruse our terms and conditions to fully grasp the scope of our services and your engagement with us.

Reservations and Travel Preparations Embarking on your adventure begins with a simple reservation process. Secure your next journey at www.mycuratedtrip.com, or for a tailored experience, schedule a complimentary planning session at www.calendly.com/curatedpro/mytrip. While our site is primarily designed for United States citizens, we welcome global travelers to verify their specific entry requirements with their destination’s consulates.

Family Travel and Child Safety:

– Children under 18 must be accompanied by a responsible adult.

– It’s the accompanying adult’s duty to ensure child safety, including providing suitable safety equipment like infant/child seats.

– Minors traveling without their parents must have a notarized letter of authorization from their guardians.

Name Policy and Change Requests:

– Bookings should align with the full name on your government-issued documents.

– Should you need to change the name post-confirmation, an administrative fee of $150 will be applied. This fee is in addition to any potential travel supplier charges and ensures seamless coordination for updating your travel details.

Payments and Refunds

Non-Refundable and Non-Transferable Policy:

At Curated Adventures Pro, LLC, your payments are an investment in your travel experience. Due to our agreements with airlines, hotels, and other vendors, all payments made to us are non-refundable and non-transferable.

To safeguard your investment, we highly advocate purchasing comprehensive travel insurance. This insurance can cover unexpected events such as trip cancellations, interruptions, baggage loss or delay, medical expenses, and more.

Payment Flexibility and Full Payment Options:

– While bookings are subject to our non-refundable terms, you have the flexibility to pay in full at any point before your final payment date, unless specified otherwise in your payment plan or invoice.

Pricing and Availability:

– Keep in mind that the prices and availability of our trips are subject to change until a deposit secures your booking.

– All prices are per person based on shared twin room occupancy and do not include items of personal nature, like laundry, beverages, or passport and visa fees, unless explicitly included in the trip description.

– In case of human or computer errors leading to incorrect pricing, we reserve the right to re-invoice with the correct price. You are entitled to a full refund if you opt not to pay the corrected price, provided we receive your written cancellation within five days of the price increase notification.

Deposit and Payment Details:

– A deposit is required at the time of reservation. The specific amount and monthly payment plan details will be noted on your reservation, unless otherwise indicated.

– Full payment can be made at the time of booking if the tour still has available space.

– If there’s an outstanding balance by the Final Payment Due date, a late fee will automatically be added to your invoice the day after your final payment date. Late fees and details are specified in each tour description.

Automatic Payment Plans and Failed Attempts:

– If you’re on an automatic payment plan and a payment attempt fails, we will retry the charge within 24 hours. You’ll receive a notification of the failed attempt and have 24 hours to update your payment details before the next processing.

Specific Payment Schedules:

– For trips with specific payment dates for partial amounts, these dates will be clearly stated in your invoice and itinerary. Late payments will incur a 10% fee on the due amount.

Last-Minute Reservations:

– Reservations should be made no later than 30 days prior to departure. If the requested services can’t be confirmed, your payment will be refunded. For confirmed services, final payment is due within 24 hours, and all applicable cancellation penalties will apply.

Forms of Payment:

– We accept payments in US dollars through ACH bank transfers, major credit cards, and debit cards. Please note that all payments made within 30 days of departure can only be made by credit or debit card.

Passports and Visas

– It is the sole responsibility of all travelers to ensure they possess the necessary travel documents, including valid driver licenses, passports, visas, and proof of vaccination where applicable.

– Passports must be valid for at least six months beyond your travel date. Some destinations require a full blank page in your passport for visa stamping.

– We advise checking with respective consulates or visa agencies to determine specific entry requirements.

Travel Insurance

– Given the non-refundable and non-transferable nature of our travel arrangements, we strongly recommend purchasing travel insurance.

– Travel insurance can provide protection for trip cancellation, interruption, baggage issues, medical emergencies, and more, safeguarding your investment in unforeseen situations.

– Insurance selection and purchase are required for all domestic, Caribbean, and international tours and vacation packages offered by Curated Adventures Pro, LLC.  It is the sole responsibility of all travelers to select an insurance provider, review plan options and coverages, select the plan they want to obtain, and either purchase themselves or inform Curated Adventures Pro which travel insurance they would like added to their invoice.  

Travel Documents

– Upon receipt of full payment by the Final Payment Due date, travel documents and instructions will be sent via email and/or mail at least 15 days prior to your travel.

– Requests for paper documents will attract a delivery fee of $35, and documents will be sent via USPS 7-14 days before departure. Please note that we can only deliver to USPS-verifiable street addresses.

– It’s important to verify that the full name on your travel documents matches the name on your government-issued ID used for travel.

Private Curated Experiences

For clients desiring personalized and exclusive travel experiences, Curated Adventures Pro, LLC offers private curated experiences with the following specific procedures:

Initial Consultation and Requirements:

– Schedule a consultation to discuss your unique travel needs via https://www.calendly.com/curatedpro/mytrip.

– Provide essential details including destination, travel dates, number of travelers, preferred transportation modes, and complete a Group Leader/Group Contract.

– For international travel, provide images of the passport photo page for all travelers.

– For domestic travel, provide images of the driver’s license or form of travel identification that will be used at TSA for all travelers.

– Proof of travel insurance is mandatory for all private curated experiences.

Research and Planning Fee:

– Prior to any trip itinerary research and planning, a non-refundable/non-transferable fee is required based on the group size:

  1. 4-8 guests: $350
  2. 9-15 guests: $675
  3. 16-20 guests: $1350, plus $100 for each additional guest over 20.
  4.  

– Prior to any trip itinerary research and planning for groups smaller than 4 travelers, a non-refundable/non-transferable fee of $150 is required.

Itinerary Development:

– Clients will receive two curated itinerary options and are entitled to two modifications.

– There is a 14-day booking expiration window from the date of itinerary presentation. If an itinerary is not selected, the group contract is not signed with the required deposit paid, proof of valid travel identification and travel insurance* for all travelers is not submitted to Curated Adventures Pro within this period, the contract becomes void, and the research and planning fee is forfeited. The booking expiration window and quotes provided are not a guarantee of rates. No space is being held and prices and availability are subject to change until a deposit is made, all required customer documents have been received and the reservation is confirmed. {*Proof of travel insurance or a signed travel insurance waiver form must be provided}

– For groups smaller than 4 travelers, there is a 14-day booking expiration window from the date of itinerary presentation. If an itinerary is not selected, the required deposit is not paid, proof of valid travel identification and travel insurance* for all travelers is not submitted to Curated Adventures Pro within this period, the contract becomes void, and the research and planning fee is forfeited. The booking expiration window and quotes provided are not a guarantee of rates. No space is being held and prices and availability are subject to change until a deposit is made, all required customer documents have been received and the reservation is confirmed. {*Proof of travel insurance or a signed travel insurance waiver form must be provided}

– To proceed beyond this point or to re-quote due to expired rates, booking window, or availability, the process must restart with a new research fee.

Confirmation and Further Procedures:

– Once the group leader’s {lead traveler for groups smaller than 4 travelers} contract is signed, the deposit paid, and the travel insurance confirmed, the group leader will receive confirmation that the trip is active.

– The group leader {lead traveler for groups smaller than 4 travelers} will be informed of group payment dates (group payment schedule), deadlines for submitting rooming lists, passport photos, dietary needs, and any allergies or special needs for all guests as per the contract.

Cancellation of Private Curated Experiences 

– In the context of private Curated experiences, cancellations are subject to specific terms due to the exclusive nature of these services. When a group or group leader fails to fulfill the group contract, particularly concerning payment for all requested services, they will be responsible for any attrition penalties.

– These penalties are outlined in the contract and result from “failure to perform” contractual obligations. Attrition penalties compensate for the private space held and the resources allocated in anticipation of the group’s travel

– It is vital for the group leader to understand and communicate these terms to all group members, ensuring clarity and awareness of the financial implications of not adhering to the contractual commitments.

Refunds

– At Curated Adventures Pro, LLC, we understand that unforeseen circumstances can arise. While our payments are non-refundable, there are exceptional cases where refunds are permissible as per our terms and conditions.

– Eligible refunds will be processed to the original credit card(s) used for payment, minus the cost of travel insurance and any cancellation fees communicated in the travel itinerary quote for the designated trip. In cases where a credit card reversal is not possible, refunds will be issued via company or cashier’s check and mailed to the address on file for the lead passenger (the passenger paying the trip invoice).

– For cases where a refund is permitted, should a refund request arise after the final payment date, please be aware that cancellation fees from Curated Adventures Pro and our vendors may apply due to confirmed reservations and accommodations.

Cancellation Policy

– Consistent with our commitment to our partners, all payments made to Curated Adventures Pro, LLC are non-refundable and non-transferable. This is due to our binding agreements with travel suppliers, tour operators, and airlines.

– To cancel your reservation, please send a written request to info@curatedadventurespro.com, including your invoice number, reservation number, full name of travelers on your reservation, and travel dates. If you do not receive confirmation of your cancellation within 48 hours, contact us at (352) MY TRIPS to verify receipt.

– Remember, some travel insurance policies require proof of cancellation for claims processing, so keep a record of your cancellation correspondence.

Reservation Changes

– Any amendments to your existing reservation, including name changes*, room type or roommate changes, or adjustments to services such as optional tours and transfers, must be made in writing to info@curatedadventurespro.com and will incur a $150 administrative fee per person, per type of change along with any additional supplier fees.

– *Important Note: Changes to airline or hotel/resort reservations, including name changes, often require a full cancellation and rebooking at the passenger’s expense. In this case, the cancellation policy will be in effect.

– Replacing one traveler with another is considered a cancellation, with applicable penalties, and is not included under this Reservation Changes policy.

– Modifications made after departure must be arranged directly with the service provider at prevailing local rates, and no refunds are available for unused services.

COVID-19 Waiver of Liability Since the World Health Organization declared COVID-19 a pandemic in Spring 2020, the world has faced unprecedented challenges. At Curated Adventures Pro, LLC, we prioritize the safety of our travelers, adhering to guidelines issued by health authorities such as the CDC. However, there are inherent risks involved in travel during a pandemic.

– By traveling with us, you acknowledge the highly contagious nature of COVID-19 and the inherent risks of exposure.

– We endeavor to provide up-to-date information regarding the pandemic-protective policies of our travel vendors and suppliers.

– Be aware that despite suppliers’ efforts to enforce protective measures, the application and adherence to these policies can vary.

– You are responsible for understanding and complying with the COVID-19 policies and regulations of the destinations and vendors in your itinerary.

– Travel may expose you to risks such as quarantine or denied entry, depending on local policies and circumstances.

– By choosing to travel, you assume all associated risks and agree to release Curated Adventures Pro, LLC, and its partners from liability related to COVID-19, acknowledging that this release includes any claims based on the negligence of the released parties.

Force Majeure In the travel industry, unforeseen events beyond anyone’s control can occur, known as force majeure events. These events, which may include natural disasters, government actions, pandemics, or other major disruptions, can make fulfilling a travel contract impractical or impossible.

– If a force majeure event occurs, we will adhere to the cancellation policies of our suppliers as outlined in our travel proposals and terms & conditions.

– Policy changes in response to such events are at the discretion of the relevant supplier and Curated Adventures Pro, LLC.

– In the event of force majeure, we will inform you of the available options and next steps.

Travelers with Disabilities Curated Adventures Pro, LLC is committed to accommodating travelers with disabilities, but it is crucial that any physical impairments are considered when selecting a trip.

– If you have a disability or impairment, please inform us before booking. We will discuss the necessary assistance and determine the suitability of the trip.

– A traveler with a disability must be accompanied by someone who can provide the required assistance.

– Our tour managers, guides, or drivers cannot offer personal assistance.

– Participation in the tour may be limited or denied if the necessary information is not provided or if the traveler’s needs significantly impact the tour’s operation.

– Escorted tours often involve physical activities like walking on uneven terrain and maintaining a certain pace. Clients with special needs may find independent travel more suitable, and we can provide alternative options tailored to specific requirements.

Wheelchairs & Walkers Accessibility At Curated Adventures Pro, LLC, we strive to provide accessible travel experiences and are committed to accommodating travelers with disabilities in compliance with the Americans with Disabilities Act (ADA). If you have specific accessibility needs, such as the use of a wheelchair, motorized scooter, or walker, we request that you inform us prior to booking. This allows us to assess whether reasonable accommodations can be made within the context of the selected tour itinerary.

– Please note, however, that some of our itineraries may not be fully accessible for these mobility aids due to logistical constraints or the nature of the travel experience.

– Additionally, on certain tours, particularly those involving motor coaches or river cruises, there may be space limitations that prevent the accommodation of wheelchairs, motorized scooters, and walkers.

– We recommend discussing your specific needs with us in advance so we can guide you toward the most suitable travel options.

Service Animals Policy

– Regarding service animals, Curated Adventures Pro, LLC adheres to specific policies based on the tour’s location:

  1. International Escorted Tours: We are unable to accommodate service animals on our international escorted tours. The varying international regulations and the complexities of managing service animal accommodations across different countries contribute to this policy.
  2. USA Escorted Tours: Travelers who require a service dog due to a disability on tours within the USA are advised to contact Curated Adventures Pro, LLC before booking. This will allow us to discuss the feasibility and make necessary arrangements in compliance with ADA guidelines.

Your comfort and safety are our priority, and we aim to provide clear guidance and support for all travelers with accessibility needs.

Airlines Curated Adventures Pro, LLC acts as an intermediary for airline services but is not responsible for any changes or policies implemented by airlines. Please be aware that:

– Airline schedules and flights can change without prior notice.

– Curated Adventures Pro, LLC is not liable for penalties related to tickets not issued by us due to airline schedule or flight changes.

– Online airline reservations are subject to review and may be rebooked to meet connecting time requirements or align with tour itineraries.

– Airlines may require immediate ticketing for heavily booked flights, contrary to normal rules. In such cases, we will request immediate and full payment of airfare, and failure to comply will result in cancellation by the airline.

Airline Tickets

– Non-refundable airline tickets will be issued upon receiving full payment.

– If early ticket issuance is necessary, a larger non-refundable deposit or complete payment may be required.

Airline Seat Assignments

– Seat assignments for group flights are solely at the discretion of the airlines.

– Our airline contracts typically cover economy-class seats. Passengers desiring other classes of service may opt to purchase separate flights and a land-only package from us.

 

Airline Frequent Flier Programs

– It is the passenger’s responsibility to consult with airlines about mileage eligibility and accrual.

– Airline policies on mileage accrual can vary, especially for discounted or promotional fares, and some codeshare flights may not be eligible.

– Certain fares, like “Curated Adventures Pro, LLC Airfare,” may have different mileage accrual rules compared to standard published airfares.

– While we record frequent flier numbers when provided, this does not guarantee mileage accrual, which remains the airline’s decision.

– Airline schedule changes may affect flights’ eligibility for mileage accrual.

– We recommend providing frequent flier details at online check-in and airport check-in.

– It is usually impossible to apply for mileage credit after travel has commenced.

– Passengers should also verify if they can apply previously earned mileage towards flight upgrades.

Passenger Contact Information 

In compliance with TSA Secure Flight requirements, it is essential for passengers to provide accurate and complete contact information to Curated Adventures Pro, LLC. This includes:

– Your full name as it appears on your government-issued ID (passport for international travel).

– Date of birth and gender.

– Current address, phone number, and email address.

– Fax data, if applicable.

It is imperative that you verify the accuracy of your name as listed on your invoice, as it must match your ID documentation. Curated Adventures Pro, LLC is not responsible for any issues arising from inaccuracies in the information provided, such as missed invoices, travel document errors, or denied boarding.

Hotel Accommodations Curated Adventures Pro, LLC is dedicated to providing comfortable and suitable accommodations for your journey. Please consider the following:

– Standard international room bookings are twin-bedded (two single beds) with private facilities. King/double-size beds are available upon request but are subject to availability.

– Hotel room allocation is at the discretion of the hotel’s management.

– Triple and quad rooms are equipped with two beds. Room size may not increase with the number of occupants.

– Air conditioning practices abroad, especially in European hotels, may differ from those in the United States, including potential restrictions during night hours or certain months.

– Our hotel rates are based on agreements with suppliers and are not negotiable. Check-in is typically after 3:00 p.m., and check-out is before noon. Consider arranging additional accommodation for late-night flights or early arrivals.

– We reserve the right to substitute hotels with those of equal standard, and no refunds will be provided for any cost difference.

Hotel & Cruise Profiles, Images, and Descriptions

– Our hotel and cruise ship profiles are based on information provided by our partners, including images and descriptions.

– Please note that star ratings may vary internationally.

– While we strive to keep information current, Curated Adventures Pro, LLC is not responsible for inaccuracies or changes made by third parties.

Meals

– Meals included in itineraries are typically based on the hotel’s or restaurant’s buffet or set menu. Beverages are usually not included unless specified.

– We endeavor to accommodate special dietary requests, which should be submitted in writing at least 16 weeks prior to departure.

Transfers

– Transfers are provided as indicated in each tour and are included for passengers purchasing airfare through Curated Adventures Pro, LLC.

– If you book a land-only tour or deviate from the scheduled dates/itinerary, you will need to arrange your transfers.

– Transfer guarantees are limited to one hour from your scheduled arrival time. Delays beyond this period may require alternative arrangements at your expense.

– Our transfer services, including round-trip or ‘dead-leg’ journeys, are conducted by reliable drivers who offer full welcome services and assistance during your ride.

Sightseeing & Itinerary

– The size of the transport vehicle for sightseeing will depend on the group size.

– Itinerary times are approximate and subject to change due to various factors.

– Early starts may be necessary for certain itineraries to optimize touring conditions.

– The number of participants will not affect the quality of tour services.

– Sightseeing itineraries may be altered due to holidays, unforeseen circumstances, or weather conditions, with no cost adjustment.

– We reserve the right to adjust itineraries or substitute hotels of a similar category.

Rail Travel

– Upon full payment, Curated Adventures Pro, LLC will arrange your train schedules. Rail tickets are issued based on these selections and are entirely non-refundable.

– Group travelers must adhere to the train times selected for the group and cannot request alternative schedules.

– Once issued, rail tickets are only valid for the specified dates and times. Due to fare restrictions, some ticket exchanges must be handled locally at the train station.

– Any changes may incur local charges, fees, and possible fare increases. It’s important to note that once the scheduled train departs, changes cannot be made, and no amendments are possible onboard.

– Seat assignments on trains are under the sole discretion of the rail companies. After issuance, rail tickets are non-refundable and cannot be altered.

Group Harmony

– Curated Adventures Pro, LLC values the overall experience and harmony of our travel groups. We reserve the right to accept, reject, or expel any individual from the group if they are deemed disruptive or not in alignment with the group’s interests. This includes situations involving intoxication or drug influence that negatively impact the group experience.

– Should an individual be expelled, they will be responsible for any expenses incurred, including cancellation fees and costs for alternate travel plans or return transportation. Additionally, any unused services in such cases will be non-refundable.

– We prioritize the safety and enjoyment of all our travelers and strive to create a positive and cohesive group dynamic on all our tours.

Cruises, Ship & Itinerary Changes

– Curated Adventures Pro, LLC advises that cruise itineraries and ship assignments are subject to change without prior notice.

– In some instances, cruises may be chartered, or departure dates canceled, leading to a full refund of all monies paid.

– We are not liable for any losses incurred due to ship substitutions, itinerary changes by the cruise line, or costs related to airline ticket issuance and/or cancellation, or visa fees.

Medical Services on Board

– It is important to note that many cruise ships do not have medical personnel on board.

– Should medical attention be needed, local medical services will be contacted, and any charges incurred will be the passenger’s responsibility.

– Curated Adventures Pro, LLC and the cruise operator are not responsible for the medical services provided.

– No refunds will be issued for part or all of a booked itinerary should there be a need for hospitalization which results in the inability to continue the original itinerary plan.

Health Requirements

– Travelers should consult their healthcare providers and review recommendations from the Centers for Disease Control (CDC) and the World Health Organization (WHO) for up-to-date travel health information.

– Required vaccinations must be documented on a valid vaccination certificate, which the traveler must carry.

– Travelers with conditions like heart disease, chronic illness, physical handicap, advanced pregnancy, or mental illness are advised against participating in rigorous travel programs.

– Those showing signs of illness or fever at the destination, or falling ill during the tour, will be directed to local medical facilities for diagnosis and can only resume group travel upon clearance by a medical facility.

– All costs associated with medical treatment and related expenses are the passenger’s responsibility.

 

Luggage

Airlines

– Checked baggage is typically limited to a total dimension of 62 inches (length + width + height) and a maximum weight of 50 lbs (23kg).

– Airlines may charge for checked bags and excess luggage, which are the passenger’s responsibility.

– In cases of lost or damaged luggage, a baggage claim form must be filed with the airline before leaving the airport.

Escorted Tours

– On Curated Adventures Pro, LLC escorted tours, each passenger may bring one piece of luggage and a carry-on bag. Extra bags will incur a $100 handling fee.

– We are not responsible for lost or damaged luggage and belongings, so immediate reporting of any incidents for insurance claims is crucial.

Tipping Guidelines

– For drivers (including private cars and motorcoach drivers), a tip of $5-$10 per person per day is recommended.

– For tour guides, a tip of $10-$20 per person per day, based on service quality and satisfaction is recommended.

Passenger Agreement

– All passengers traveling with Curated Adventures Pro, LLC must complete a Passenger Agreement prior to travel, formally accepting our Terms & Conditions.

– All passengers traveling with Curated Adventures Pro, LLC must provide contact and travel preference information as outlined on the travel intake/registration form.

– All passengers traveling with Curated Adventures Pro, LLC must provide proof of valid travel identification. For domestic travel a photocopy of the traveler’s valid driver license is required. For international travel, a photocopy of the traveler’s entire passport photo page showing its validity.

– For online bookings, the Agreement is completed during the booking process. 

– Invoice payments act as consent/agreement with terms and conditions.

– Travel documents are contingent upon the completion of this Agreement, and Curated Adventures Pro, LLC reserves the right to cancel bookings without a completed Agreement, photocopy of travel identification (passport/driver ID), or completed trip registration forms. Bookings canceled due to missing or incomplete passenger data or forms are non-refundable and non-transferable.

– This Agreement encompasses the Terms and Conditions, including the Release from Liability, Assumption of Risk, and Binding Arbitration Clauses.

Release from Liability

– Curated Adventures Pro, LLC, along with its stakeholders, is not liable for acts or failures of any third-party entities delivering goods or services for your trip, including but not limited to airlines, hotels, or transportation providers.

– We are not responsible for any injury, loss, or damage to person or property, or any delay or inconvenience resulting from, but not limited to, external forces, governmental acts, acts of war, labor issues, criminal or terrorist acts, overbooking, structural issues in accommodations, transportation failures, or animal encounters.

– This release also includes any liability for negligence on our part and assumes all risks thereof.

Assumption of Risk

– Travel involves inherent risks, including but not limited to, illness, injury, or death from natural forces, wildlife, negligence, or third-party conduct.

– You acknowledge that medical services may not be readily available, and weather conditions may be severe.

– By participating in our trips, you accept these risks as part of your travel adventure, assuming full responsibility for any illness, injury, or death.

– You confirm that you are physically, medically, and mentally fit to embark on the trip and authorize emergency medical treatment if necessary.

Binding Arbitration

– Any disputes related to your trip, this Agreement, or any associated literature will be resolved exclusively through binding arbitration in Richmond, Virginia, under the Federal Arbitration Act and either the AAA or JAMS rules.

– The arbitrator has exclusive authority over disputes related to this contract, including its interpretation and enforceability.

– By agreeing to these terms, both you and Curated Adventures Pro, LLC waive the right to a trial by jury.

Voluntary Participation

– I acknowledge my voluntary application to participate in the trip specified on my application or any trip I may subsequently choose. I have reviewed the trip description on Curated Adventures Pro, LLC’s website and understand all the information provided. My participation is a conscious decision, accepting the inherent risks involved.

Knowing and Voluntary Execution

– Having thoroughly read these Terms and Conditions, including the booking information, I fully comprehend their contents. I recognize this as a release of liability and a binding contract between myself and Curated Adventures Pro, LLC. This agreement is made willingly, and by signing, I accept the Travel Terms & Conditions and Release from Liability, Assumption of Risk, and Binding Arbitration Clause on behalf of myself, my travel party, and any accompanying minors.

Photographic Release

– Curated Adventures Pro, LLC, its photography or videography partners, and independent contractors from time to time will capture travelers and destination images during the curated adventure. This media is used for promotional or commercial purposes without compensation.

– Acknowledgement and opt-in/opt-out consent can be selected on the traveler’s invoice.

  1. Check box to acknowledge the terms and conditions have been received and reviewed.
  2. Check box to opt-in or opt-out granting Curated Adventures Permission to use videos or photos of the traveler.
